PandaDoc Alternatives for Small Businesses (2026)

8 min read

The right PandaDoc alternative depends on which part of PandaDoc you actually use. If you build sales proposals with pricing, Proposify, Qwilr and Better Proposals are the closest matches. If you mostly send finished documents for signature, BoldSign or Docusign cost less for that one job. And if you are a small service business that sends a contract after a client meeting and wants it in the same place as the client, a CRM with e-signing built in, like Dovio, removes a tool instead of swapping one.

Dovio is the alternative we build.

All prices are in US dollars per user per month, excluding tax, and were checked on each vendor's own site in October 2026. The table shows the plan most small teams would start on. Sending limits, add-ons and higher tiers are covered in each section below. Starter includes five hours of AI meeting time per user a month, and Pro includes thirty.

Why people look for a PandaDoc alternative

PandaDoc does a lot, and most of it is good. The reason people look elsewhere is usually how its plans are cut. On Starter, at $19 per user per month billed annually or $35 billed monthly, you get unlimited e-signatures and the drag-and-drop editor, but only up to 5 templates. The quote builder, pricing tables, CRM integrations, approvals, content library and document analytics with status tracking all sit on Business, at $49 per user per month billed annually or $65 billed monthly. Salesforce is a paid add-on even there.

So the first question is simple. Do you need proposals and quotes, or do you mostly need a signature? A third question matters for a small service business. Once the contract is signed, where does it live, and who on your team can find it next to the client's emails and meeting notes?

What PandaDoc does well

Before switching, it is worth naming what you would give up. On Business, PandaDoc builds a quote from a product catalog straight into a pricing table, routes it for approval, and shows you when the client opened it. It takes payment through Stripe from Starter, and through Square, PayPal, Authorize.net and QuickBooks Payments on Business. It also ships a free library of over 400 public templates. For a sales team sending a steady flow of priced quotes, that is a lot of workflow in one tool.

The cost is that most of it starts at $49 per user per month on annual billing. For a three-person service business that sends a handful of contracts a month, that is a quote tool you pay for every month whether or not you quote.

If you build proposals: Proposify, Qwilr, Better Proposals

These three replace the proposal side of PandaDoc. All of them include e-signatures, so the client accepts and signs in the same document.

Proposify

Best for sales teams that want to see how a proposal is read and let buyers adjust the price. Proposify's analytics show when each recipient opened the document and how long they spent in each section. Its interactive quoting lets the client pick optional fees or change quantities, which Proposify pitches as passive upsells. It connects to HubSpot, Pipedrive and Zoho, and in HubSpot the deal's line items flow into the pricing table.

Build costs $39 per user per month on annual billing, or $49 per user per month billed quarterly. Approval workflows start on Grow at $65 per user per month, billed annually. There is a 14-day trial with no card. Proposify is built around a sales process with reps, pricing rules and approvals. A two-person consultancy will use a small part of it.

Qwilr

Best for proposals that should feel like a branded web page rather than a PDF. A Qwilr proposal is a link the client scrolls, with an accept block that collects the signature, from one or several signers. QwilrPay, which runs on Stripe, can take a partial, full or recurring payment on the same page. On Starter, Qwilr adds a 0.09% fee per transaction on top of Stripe's own fees. HubSpot, Zoho and Pipedrive integrations are included from Starter, while CRM automations need Growth.

Starter is $35 per user per month billed annually, or $49 billed monthly. Growth is $55 per user per month, billed annually only, with a minimum of five users. Starter keeps 60 days of analytics history. If your proposals are where you win the client, Qwilr is a strong pick. If the proposal is a formality after a call, it is more presentation than you need.

Better Proposals

Best for freelancers and small agencies who want to get paid from the proposal. Better Proposals connects to Stripe, GoCardless and PayPal on every plan, so the client can sign and pay in one go. It has over 260 free templates and section-level analytics.

Starter is $13 per user per month billed annually, or $19 monthly, for one seat and 10 documents a month. Premium, at $21 billed annually or $29 monthly, raises that to 50 documents a month and adds CRM integrations. The deeper HubSpot and Salesforce integrations that update deal stages are Enterprise only, at $42 billed annually or $49 monthly. For a solo consultant who wants payment collected at signing, it has the lowest entry price of the proposal tools here.

If you mostly need signatures: Docusign, BoldSign

If your documents are written somewhere else and you only use PandaDoc to get them signed, a dedicated e-signature tool does that job for less.

Docusign

Best for signing finished documents when the client should recognize the name on the email. Docusign lists more than 1,000 integrations. Business Pro adds payment collection during signing, plus web forms.

Standard costs $25 per user per month billed annually, or $45 billed monthly. Business Pro is $40 billed annually or $65 monthly. Both count envelopes: up to 100 per user per year on annual plans, or 10 per user per month on monthly plans, and envelopes over the allowance are billed per envelope. A one-person Personal plan costs $10 a month billed annually, with 5 envelopes a month. If you send a few contracts a week, check the envelope math before you compare prices.

BoldSign

Best for teams that want low-cost signing without counting envelopes. Business, at $15 per user per month billed annually or $25 monthly, includes unlimited envelopes and templates. The free Essential plan covers one user and 25 envelopes a month, and you choose where your data is stored, in the US, EU, Canada or Australia. BoldSign is clear about its scope. On its own PandaDoc comparison page it says it has "no proposal building, quoting, CPQ or deal rooms". If you only need a signature, that focus is the point. If you also write priced proposals, pair it with a proposal tool or pick one from the group above.

If you want the contract inside your CRM: Dovio

Proposal tools and e-signature tools both sit next to your CRM. Dovio takes a different route. It is an EU-hosted AI CRM with its own notetaker and e-signing, so the contract is written, sent and signed from the customer record itself.

Best for small service businesses, like consultancies, agencies and coaches, that meet a client, agree on the work and send a contract.

  • The contract fills itself in. You build a template once, with text, a price table and signature fields. When you create a contract from a contact, the client's name, company and email come from the record, along with your own details.
  • One document can be the proposal and the contract. Because the price table sits inside the contract, the client reads what they are buying and signs it in the same place.
  • You see who has done what. Each signer shows as sent, opened, started, signed or declined. When the last person signs, everyone gets the signed copy by email, and the audit log stays in Dovio.
  • It stays with the client. Every contract appears on the company and on the people who signed it, next to your emails and meetings.
  • The meeting comes first. Dovio's notetaker can join your Google Meet, Teams or Zoom call. Afterwards you get a summary, suggested tasks and a drafted follow-up email that you review and send yourself. So the notes from the call are already there when you write the contract.

Starter costs $19 per user per month, or about $16 on annual billing, and Pro costs $49. Starter includes five hours of AI meeting time per user a month, and Pro includes thirty. Contracts and e-signing are included on both plans, with nothing extra to buy.

Dovio is a CRM first, so the fit is different from the tools above. If you want the client to pay by card inside the proposal, Better Proposals, Qwilr or PandaDoc fit that better. If you run a sales team that needs quote approvals and a product catalog, Proposify or PandaDoc Business is built for that.

How to choose

Start from the job you need done.

  • You send priced proposals and win work on them. Look at Proposify if you have a sales team, Qwilr if presentation matters, and Better Proposals if you are small and want payment at signing.
  • You only need signatures on documents you already have. BoldSign if cost and volume matter most, Docusign if your clients expect it.
  • You meet a client, agree on scope and send a contract, and you want all of it in one place. That is the job Dovio is built for. See how contracts work in Dovio and what happens after a meeting, or compare plans on the pricing page.

Prices and plans change often, so check the vendor's own page before you decide.

Frequently asked questions

Is there a free version of PandaDoc?

Yes. The Free eSign plan lets you upload documents and send 5 a month for signature, with up to 2 recipients per document and 5 templates. The editor, quotes and pricing tables need a paid plan. PandaDoc also offers a free 14-day trial of its paid features. Checked on support.pandadoc.com in October 2026.

Why is PandaDoc so expensive?

Starter is $19 per user per month billed annually, or $35 monthly. Most of what PandaDoc is known for, including the quote builder, pricing tables, CRM integrations, approvals and document analytics, sits on Business at $49 per user per month billed annually, or $65 monthly. If you need those features, the price reflects a full proposal and quoting tool. If you mostly need signatures, you are paying for features you do not use.

What is the cheapest PandaDoc alternative?

For signatures only, BoldSign has a free plan with 25 envelopes a month and a Business plan at $15 per user per month billed annually with unlimited envelopes. For proposals, Better Proposals Starter is $13 per user per month billed annually, for one seat and 10 documents a month.

Is Docusign better than PandaDoc?

They are built for different jobs. Docusign is an e-signature tool for documents you have already written, with plans that count envelopes. PandaDoc also builds the document, with templates, pricing tables and quotes. If you only need signatures, Docusign or BoldSign is the closer fit. If you build priced proposals, compare PandaDoc with Proposify, Qwilr and Better Proposals.

Is Proposify better than PandaDoc?

For proposals with interactive pricing and section-level analytics, Proposify is a close match, from $39 per user per month billed annually. PandaDoc covers a wider range, including payments and a free e-signature plan. Pick Proposify if proposals are the center of your sales process.

Can a CRM replace PandaDoc?

For some businesses, yes. Dovio is an EU-hosted AI CRM with its own notetaker and e-signing. You write the contract from the customer record, with a price table inside it, send it for signature and see it signed on the client's record. It fits small service businesses that send contracts after client meetings. If you need payment collection inside the proposal or quote approvals, a proposal tool fits better. Dovio Starter is $19 per user per month. Starter includes five hours of AI meeting time per user a month, and Pro includes thirty.
