Best CRM for Marketing Agencies in 2026: 6 Compared

10 min read

The best CRM for a marketing agency depends on which job it is doing. If you run lead generation for your clients and want each one in its own account, HighLevel is built for that. If the CRM is for winning and keeping your own clients, HubSpot is the pick for an agency that wants sales, marketing and service on one platform as it grows, Pipedrive for a sales pipeline that is easy to run, monday CRM for new business and delivery on the same boards, and Zoho CRM for heavy customization at a low price per seat. Dovio fits a small agency of 2 to 20 people whose work runs through client calls, email and contracts.

We build Dovio, one of the six.

All prices are in US dollars per month billed annually, excluding tax, unless the row says otherwise. They were checked on each vendor’s own site on November 3, 2026. HighLevel prices the whole account, and the others price each user, so the five-seat table further down is the fairer comparison.

How we compared them

We picked the six CRMs that Google’s AI answers and the top-ranking guides name most often for this search, and that an agency of 2 to 20 people would realistically shortlist. We did not score or rank them. Each one is the best fit for a different kind of agency, so each gets a "best for" line and is checked against the same seven questions:

  1. What five seats cost on the first plan with email sync, billed annually.
  2. Client and retainer tracking. Can you keep each client, its deals and its renewal date in one record?
  3. Proposals and contracts. Can you send a priced proposal and get it signed inside the CRM, and on which plan?
  4. After a client meeting. Does the CRM record the call, write it up and help with the follow-up?
  5. Reporting. Dashboards and reports at the entry plan.
  6. Integrations. How many apps it connects to, and whether that depends on the plan.
  7. Setup. Onboarding fees, and how much configuring the vendor itself says to expect.

Every figure comes from the vendor’s own pricing page, help center or product catalog. Where a vendor does not publish something, we leave it out.

First, decide which kind of agency CRM you need

Google’s AI answer for this search opens with the same split, and it settles most of the decision. Some agencies need a CRM for their own business. They track leads, pitches, retainers and renewals with their own clients. Others need a platform they run for their clients, with a separate account per client for that client’s leads, landing pages and text messages, often under the agency’s brand.

HighLevel is built for the second job. The other five are built for the first. If you are not sure, ask whose leads go in the CRM. If they are your clients' customers, start with HighLevel. If they are your own prospects and clients, read on.

The six CRMs, one by one

HubSpot

Best for agencies that want sales, marketing and service on one platform and expect to grow into it.

HubSpot’s Notetaker is included on Sales Hub Starter, Professional and Enterprise. It joins Google Meet, Microsoft Teams or Zoom calls, records and transcribes them, writes meeting notes and drafts follow-up emails. Starter also covers what a small agency needs day to day, with 15 pipelines, email and calendar sync, and 30 reporting dashboards. HubSpot lists over 2,000 apps that connect to it.

Sales Hub Starter lists at $20 per seat a month. New customers can get it for $7 a seat billed annually, or $10 month to month, for a limited time that HubSpot does not specify. The cost climbs at Professional, which is where custom reports and 300 workflows live. It costs $90 per seat a month billed annually, or $100 billed monthly on an annual commitment, plus a required one-time onboarding fee of $1,500. Quotes with e-signature have moved to Revenue Hub, which needs its own Professional seat at $95 list. For a five-person agency on Professional, that is $450 a month before onboarding.

Pipedrive

Best for agencies that win clients on a visual sales pipeline and want it simple to run.

Pipedrive’s Nova notetaker is included on every plan at no extra cost. It joins Google Meet, Zoom or Microsoft Teams calls, transcribes them, and afterward writes a summary, lists follow-up actions and suggests CRM updates for you to review. Pipedrive has a page for digital marketing agencies, lists more than 500 integrations on every plan, and includes an Insights dashboard on every plan.

Growth, at $39 per seat a month billed annually, is the first plan with email sync and automations. Proposals, quotes and contracts with e-signature come from Smart Docs, which is included on Premium and Ultimate and is a paid add-on on Lite and Growth. The same goes for Projects, which tracks the delivery work after a deal is won. So an agency that wants both on Growth should price in two add-ons. Invoices are created from inside Pipedrive and sent to QuickBooks or another invoicing app that you connect.

monday CRM

Best for agencies that want new business and client delivery on the same flexible boards.

The monday CRM agency page describes a won pitch moving to account management in one click, with tasks and history going along. Quotes and invoices are built into every plan, with a monthly cap that rises with the plan. The AI Notetaker records and transcribes Zoom, Teams and Meet calls, puts a summary on the contact’s timeline and can generate a follow-up email. It uses AI credits, 120 per meeting hour, and monday does not publish how many credits each plan includes.

Standard is $17 per seat a month billed annually, and Pro is $28. Seats come in packs starting at 3, and monday’s agency page says there are no setup fees. Standard is the first plan with automations, integrations and two-way Gmail and Outlook sync. Its 250 automation actions a month include what the email integration uses, and monday’s own help center says regular users should consider Pro. Quotes can carry a signature section, but monday says it does not yet collect and store countersigned documents. For signed contracts it offers a Docusign app, which needs a Docusign Business Pro account.

Zoho CRM

Best for agencies that want to customize their CRM heavily and pay little per seat.

Zoho has an agency page and is open about what it takes. It says Zoho CRM is "not an out-of-the-box vertical CRM solution", and that the agency setups it shows need customization "carried out by the users or through an authorized Zoho partner". In return, Standard covers a lot for the price. Standard includes Gmail and Outlook integration, five pipelines and unlimited custom dashboards. Zoho lists more than 1,200 extensions, though each plan caps how many you can install, starting at 5 on Standard.

Standard is $14 per user a month billed annually, or $20 monthly. Quotes, invoices and most of the Zia AI features start on Professional, at $23 billed annually or $35 monthly. E-signature runs through Zoho Sign, a separate subscription that starts at $10 per user a month billed annually. Recording video meetings runs through Zoho Meeting, a paid add-on after a 15-day trial. There is a free plan for up to 3 users.

HighLevel

Best for agencies that run lead generation for their clients and want to resell the platform under their own brand.

HighLevel gives each client its own sub-account, and Starter includes 3. CRM and pipelines, invoicing, custom dashboards and workflow automation are core features on every plan, and its help center describes documents and contracts with e-signatures. Meeting Room, HighLevel’s own video tool, records calls and writes AI summaries. For calls on Zoom, Google Meet or Teams, it points to a Fathom integration that runs through billed workflow actions.

Pricing is flat for the account with unlimited users. Starter is $97 a month or $970 a year, with 3 sub-accounts. Unlimited, at $297 a month or $2,970 a year, removes the sub-account cap. Phone, text messages and email are billed by usage on top, AI agents cost extra per sub-account, and resale with your own markup needs the $497 Founder plan. For an agency that only needs its own pipeline, that is a lot of platform to set up and pay for.

Dovio

Best for small agencies whose client work runs through meetings, email and contracts.

Dovio is an EU-hosted AI CRM for small businesses, with its own notetaker and built-in e-signing. Its AI does the after-meeting work and leaves the follow-up as a draft for you to send. It puts the after-meeting work and the contract on the same client record, on the entry plan.

  • The call is written up for you. Dovio’s notetaker joins your Zoom, Google Meet or Microsoft Teams call when you send it, or on every external meeting if you turn that on. Afterward you get a summary in the language of the meeting, suggested tasks from what was said, and a follow-up email saved as a draft for you to review and send. Ask the people in the call to agree to the recording first.
  • Contacts come from your inbox. Turn on automatic contacts and Dovio creates contacts and companies from your email and calendar. Emails, meetings, notes and tasks then sit on the client.
  • Proposal and contract can be one document. You build a template with text, a price table and signature fields. When you send it from a contact, the client’s details come from the record, and you can see whether each signer has opened, signed or declined it.
  • You can keep retainers visible. Add a renewal date field to the client’s deal and a task ahead of it, and track deals on a board by stage.

Starter costs $19 per user per month, or about $16 billed annually, and Pro costs $49. Starter includes five hours of AI meeting time per user a month, and Pro includes thirty. Need more meeting time? Add 10 hours for $12 a month. Contracts and e-signing are included on both plans, and contract sends have a monthly cap per user that is higher on Pro. There is no setup fee.

Dovio covers a small team’s client work. The bigger platforms add management reporting. Dovio has no reporting dashboards, though a table view can total a column, such as deal value. It connects to Gmail, Outlook and your calendar and records Zoom, Meet and Teams calls, and it has no app marketplace. It does not send invoices or track time. If you report to clients from your CRM, or run delivery and billing in it, HubSpot, monday CRM or Zoho fit that better.

What five seats cost

Per-seat prices hide the real bill, so here is the same five-person agency on each CRM. The plan named is the first with email sync, and all figures are per month billed annually unless stated.

CRM and planFive seatsWhat usually comes on top
HubSpot Sales Hub Starter$100 at list price, $35 on the new-customer offerRevenue Hub Pro seats for quotes with e-signature. Professional is $450 plus $1,500 onboarding
Pipedrive Growth$195Smart Docs and Projects add-ons, or move to Premium
monday CRM Standard$85Pro at $140 if automations and email sync carry real volume. AI credits
Zoho CRM Standard$70Professional at $115 for quotes. Zoho Sign and Zoho Meeting
HighLevel Starter$970 a year for the account (about $81 a month, our conversion), at any team sizeUsage for phone, text, email and AI
Dovio Starterabout $79 a month ($950 a year)More meeting hours if you need them

At 20 people the per-seat CRMs scale in a straight line, and HighLevel’s account price stays the same. monday CRM sells seats in packs and asks teams above 40 to request a quote.

Frequently asked questions

What is the best CRM for a marketing agency?

It depends on what the CRM is for. To win and keep your own clients, HubSpot fits agencies that want sales, marketing and service on one platform, Pipedrive fits agencies that sell on a visual pipeline, monday CRM fits agencies that want new business and delivery on the same boards, and Zoho CRM fits agencies that want to customize a lot for a low price per seat. HighLevel is built for agencies that run lead generation for their clients and resell it under their own brand. Dovio fits small agencies whose work runs through client meetings, email and contracts.

What is the best CRM for a small agency?

For a team of 2 to 10, look at the price of the first plan with email sync, and at what happens after a client call. Billed annually, five seats cost $85 a month on monday CRM Standard, $70 on Zoho CRM Standard, $100 on HubSpot Sales Hub Starter at list price and $195 on Pipedrive Growth (checked November 2026). Dovio Starter is about $16 per user per month billed annually, with its own notetaker and e-signed contracts included. Starter includes five hours of AI meeting time per user a month, and Pro includes thirty.

Is there a free CRM for agencies?

HubSpot has a free plan for up to 2 users and 1,000 contacts. Zoho CRM is free for up to 3 users, with 5,000 records, the default pipeline only, no custom fields and no email integration. Neither monday CRM nor Pipedrive has a free CRM plan, only 14-day trials. Checked on each vendor’s site in November 2026.

Is HubSpot worth it for a small agency?

Sales Hub Starter is a good entry point. It lists at $20 per seat a month, new customers can get it for $7 a seat billed annually for a limited time, and it includes the Notetaker, which records your calls and drafts a follow-up email. The cost rises at Professional, at $90 per seat a month billed annually plus a required $1,500 onboarding fee, and quotes with e-signature need a Revenue Hub Professional seat at $95 list.

Should a marketing agency use GoHighLevel?

Yes, if you run lead generation for clients and want each client in its own sub-account, or want to resell the platform under your brand. Starter is $97 a month or $970 a year for the whole account with unlimited users and 3 sub-accounts, and phone, email and AI usage are billed on top. If you only need a CRM for your own agency’s clients, a per-seat CRM is a closer fit.

Can a CRM write up my client meetings?

Several can. HubSpot, Pipedrive and monday CRM each have a notetaker that joins Zoom, Google Meet or Microsoft Teams. Dovio’s own notetaker does too, and afterward you get a summary in the language of the meeting, suggested tasks and a follow-up email saved as a draft for you to review and send. Ask the people in the call to agree to the recording first.
